AI receptionist: how to choose.
Six things that decide whether an AI receptionist works for you – and the questions to ask before you choose. Under each point is how we answer it ourselves.
- 01
Danish that people understand
Why it matters: The first thing a caller hears is the language. An AI receptionist built for English and translated afterwards can sound stiff, mishear Danish numbers and addresses, or phrase things nobody would say.
Ask about
- Can we call it ourselves – on a Danish number – before we buy?
- How does it handle addresses, phone numbers, dates and times in Danish?
- Which languages does it answer in, and does it switch if the caller speaks English?
How Telenoa does it
Noa speaks Danish and English and answers in your name with your greeting. Call +45 53 66 50 50 and hear her – it's a Danish number, and she answers around the clock. Expect some callers to notice it's an AI.
- 02
Booking in the system you already use
Why it matters: An AI that only notes down “the customer wants an appointment” saves you picking up, but not calling back. The big difference is whether it can book directly – and does so safely.
Ask about
- Which calendars and booking systems can it book in – today, not “soon”?
- Does it read the time back and wait for the customer's yes before booking?
- What happens with cancellations and rescheduling?
How Telenoa does it
Noa books in Google and Outlook calendars, Cal.com, EasyPractice and SimplyBook.me, and tables in easyTable and resOS. She finds a free slot within your rules, reads it back and only books after the customer's yes. Cancellations and rescheduling become a message for you – she doesn't cancel herself.

Transfers to the right person
Why it matters: Some calls need a person: an ongoing job, a supplier, an unhappy customer. Ask how finely you can control who gets what – and what happens when nobody picks up.
Ask about
- Can it transfer to different people by topic?
- Can we set days and hours per person?
- What happens when the person it transfers to doesn't pick up?
How Telenoa does it
You tell us who handles what, and on which days and hours they can take calls. Noa transfers to the right person – and otherwise takes a message with name, number and what it's about, which lands in your inbox.
- 04
GDPR and where data lives
Why it matters: An AI receptionist processes personal data on every call: name, number and whatever the caller says. You're the data controller, so you need to know where data is stored, who processes it and for how long.
Ask about
- Where are calls, transcripts and recordings stored – in which country?
- Is there a data processing agreement and a public list of sub-processors?
- Does it always record calls, or only when we switch it on? Can we choose the retention period?
How Telenoa does it
The app, the database and the files are on servers in the EU, and all traffic is encrypted. For telephony and Noa's AI we use a few sub-processors – they're all on the list of sub-processors, and you get a data processing agreement. Calls are only recorded if you switch it on, and you choose the retention period.

A pricing model you can predict
Why it matters: AI receptionists are usually billed by the minute, but the models differ: some have setup fees, some don't publish prices, and extra minutes can add up. What matters is knowing what your worst month costs.
Ask about
- Is the price on the website – incl. or excl. VAT?
- What do extra minutes cost, and can we set a cap?
- Is there a setup fee?
How Telenoa does it
Noa Voice costs from €93 a month incl. VAT with 300 minutes. That's Basis; Pro costs €133 with the same features and a faster, smarter AI. Extra minutes cost €0.27 with Basis and €0.33 with Pro, up to a cap you set (€65 by default). Once the cap is reached, Noa only takes messages. No setup fee – the price is on the pricing page.

Lock-in – and how easy it is to leave
Why it matters: The hidden lock-in is rarely the contract. It's the phone number and your data. If you've been given a new number your customers now call, switching is hard – whatever the contract says.
Ask about
- Is there a lock-in or notice period?
- Do we keep our own number, so we can switch without customers noticing?
- Can we take our data with us if we stop?
How Telenoa does it
No lock-in: Noa Voice is billed monthly, and you can cancel whenever you like. You keep your own number and simply forward it to Noa – if you stop, you remove the forwarding. You own your data and can export it.

Call as a customer
Use a real question from your day: “Could you come and look at a leaking roof in Køge?”
- 02
Say something tricky
A phone number, an address, a time. Does it hear it right – and repeat it back?
- 03
Ask something it can't know
A good AI doesn't guess. It says it doesn't know and takes a message or transfers.
- 04
Try to book
Does it read the time back and wait for your yes? Does the booking land in the right system?
- 05
Ask for a person
What happens when you say “Can I speak to someone who works there”?
- 06
Look at what comes out
One line in an email – or the whole conversation with name, number and what was agreed?
